- Discord identifiers: Discord server ID, role IDs, and user IDs for members participating in campaigns through your server.
- Campaign configuration: Campaign rules, submission requirements, payout thresholds, and any custom settings you configure.
- Communications: Messages you send through our contact form, support requests, and any other correspondence.
Information collected automatically
- Submitted clip data: Public URLs to TikTok, Instagram, and YouTube content submitted through your Discord server, along with associated metadata (creator handle, timestamps, view counts, engagement metrics).
- Service usage logs: IP addresses, browser type, pages visited within the admin panel, and timestamps. Used for security and debugging.
- Performance data: Error logs and diagnostic information to improve Service reliability.
Information from third parties
- Platform data: Publicly available view counts and engagement metrics retrieved from TikTok, Instagram, and YouTube for clips submitted through your campaigns.
- Payment processor data: Transaction confirmations, billing status, and subscription state.
03How We Use Your Information
We use collected information to:
- Provide, operate, and maintain the Service, including view tracking, leaderboards, and admin panel functionality.
- Process payments and manage subscriptions.
- Detect, investigate, and prevent fraudulent activity, including botted views and abuse of the platform.

- Comply with legal obligations and enforce our Terms of Service.
04Sharing & Third Parties
We do not sell your personal information. We share data only with:
- Service providers: Infrastructure hosts, payment processors, email delivery services, and contact form providers (such as Web3Forms) that help us operate the Service. These providers are bound by their own privacy commitments.
- Third-party platforms: We query public APIs from TikTok, Instagram, and YouTube. We do not share your personal data with these platforms beyond what is publicly visible in the clips your creators submit.

- Business transfers: If Clipmax is acquired, merged, or sells assets, your data may be transferred as part of that transaction, subject to confidentiality protections.
05Data Retention
We retain your information for as long as your subscription is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:
- Account and billing records: Retained for at least 7 years for tax and accounting compliance.
- Campaign and clip data: Retained for the duration of your subscription. You may request deletion of inactive campaign data at any time.
- Server logs and diagnostic data: Typically retained for 90 days before automated deletion.
- Communications: Retained as long as necessary to support you and document our relationship.
06Cookies & Tracking
Our website uses minimal cookies and similar technologies for essential functions only — such as keeping you signed into the admin panel and remembering basic preferences. We may use privacy-respecting analytics to understand aggregate usage patterns (e.g., which pages are most visited).
We do not use cookies for cross-site advertising or third-party behavioral tracking. You can disable cookies in your browser, but parts of the admin panel may not function correctly.
